Learning Management Systems (LMSs) help us in managing eLearning, classroom or virtual trainings easily. Apart from the structured training curriculum, you can provide your learners with additional learning resources to refresh their learning or give in-depth information. In most cases, the additional material provided is optional. This optional training material can be shared using various methods. Option1: It can be included in the training curriculum and made optional, so that a course can be marked as complete even if the learners didn’t read it. Option2: Create a separate training program and make it optional, so that the learner can take it anytime to enhance his knowledge on the subject. Once the program is viewed or completed, it will be moved to the training transcript. In both these cases, the material is integrated with training content and requires the users to enroll into the course to access it. The learner has an option to read it or ignore it. Once the training program is completed, it will be moved to the training transcript. If he wants to see any resource, then he needs to go to the training transcript and search for the training from the list of completed courses. As it is optional, most learners ignore it and may forget it as they cannot see it in the list of current trainings. Option 3: We introduced one more option called "Resources". We have developed and integrated this feature into our customized version of Moodle LMS where instructors /administrators can upload all additional training materials. These resources are directly available to all authorized LMS users, and it does not require any enrollments. It accepts all kinds of file formats such as PPT, PDF, Audio, Videos, and Zip etc. Learners can perform the following activities in the resources module. Search for a particular resource using keywords View it online Download it for viewing it offline Add it to "My Resources", so that the learner can see all the selected resources at one place Remove it from "My resources", if it is not required Share it with other colleagues who have an account in the LMS As compared to other options, this is more user-friendly and allows the user to view his favorite resources whenever required. There is no need to search for the required feature in the completed courses section. It’s a common repository for all resources which can be stored in various categories. How To Use Google Voice Commands In Google Drive: What eLearning Professionals Need To Know As eLearning professionals, we are always looking for ways to make the most of our online resources. We want to provide our learners with the most beneficial eLearning experience, while still staying under budget and maximizing our productivity. This is why Google voice commands in Google Drive is such an invaluable eLearning tool. Not only does it give you the ability to make your eLearning course more interactive and engaging, but it can also be quite handy during the eLearning design and development process. Develop learning materials in a fraction of the time. Videos are the new ‘in thing’ today, from viral YouTube videos to Vines to videos in e-learning courses, videos have become an integral part of instruction. As the days go by, learner retention keeps decreasing, making it hard for designers to keep the learner glued to the course. So, how can videos blend with eLearning? There is more to video-based learning than just product demonstrations and testimonials. I am going to share with you a few creative ways to use videos in e-learning to adhere to the changing times. Toons That’s right, I am talking about tiny little people you saw on the Cartoon Network while growing up. The best part of using toons is you don’t need to be an expert animator, and simple fade in and fade out animations will do the trick. All you need is a great script and a bit of visualization and you are all set! A perfect place to use toons would be informal courses like employee inductions and employee well-being trainings. Take a look at a toon-based video on employee safety. Scribble Scribbling/drawing videos is one of those things you can’t keep your eyes off! And they are perfect to induce learning. The most alluring quality of a scribble video is that it is versatile, and you can use it to narrate a case study, a story or even show it as an info-graphics. Final Quiz is the ending step for every e-learning course and is an instructional objective. Developing the final quiz is a time-consuming process for eLearning developers, if the number of questions is very large. Do you think there is an easy way to develop the final quiz with several hundred questionsto save the developer’s time? Well, you can use a new feature of Articulate Storyline to import the questions from an MS-Excel sheet directly. This is very helpful when we get quiz questions from SMEs. In this post, I would like to share how to import questions from an MS-Excel sheet. But before we proceed further, let me explain how to develop a standard MS-Excel sheet. Quiz questions in the standard format should have four components. They are: Question Type (Use standard abbreviations) Score Points Question Text Choices In the above screenshot, TF indicates that the question is of True/False 10 points are scored for the correct response. "Articulate Storyline is the best authoring tool" is the question text. True and False are the two available choices for the question and * indicates that True is the correct answer. Note: Storyline ignores doubles slashes which are treated as comments. Here is the list of Standard Abbreviations for all supported question types (9 Graded and 10 Survey question types). Graded Question types:  TF-True/False MC-Multiple Choice MR-Multiple Response FIB-Fill in the Blank WB-Word Bank MD-Matching Drag and Drop MDN-Matching Drop-down SD-Sequence Drag and Drop SDN-Sequence Drop-down Survey Questions: NUM-Numeric LIK-Likert PO-Pick One PM-Pick Many WW-Which Word SA-Short Answer ESS -Essay RD-Ranking Drag and Drop RDN-Ranking Drop-down HM-How Many Note: Ensure that your questions are in the first tab of your spread sheet. Here are the steps to import questions from an MS-Excel sheet. Step 1: Develop an MS-Excel sheet with your questions and choices as perthe standard format. Step 2:Click theFile menu. Step 3: Click Import and select the Questions from File option. Step 4: From the window opened, browse for your.xls file or you can even paste the file location directly. Select the file and click theOpen button. Step 5: All the questions in the Excel sheet will be created with default settings as shown below.  Step 6: Change the points awarded for answering the questions correctly, if required, and click the Import button. Now, you can see that the quiz with the default layout is created. These are the steps to import quiz questions from an MS-Excel sheet into your eLearning course. Note 1: Any formatting in the MS-Excel sheet will be ignored by Storyline during the import process. Note2: You can also import questions from text files. One of our clients approached us to develop simulations, to train his staff members on PowerPoint. We chose Articulate Storyline to develop the screen simulations of the application from Microsoft. We started recording based on the client requirements, and once the recording was completed, we used the ESC button to convert the recorded simulation into a story file. We have two options with this window i.e. video on a single slide and step-by-step slides. In this scenario, we selected the step-by-step option, and inside the check box selected the view mode steps, and then clicked the Insert button. Once inserted, our simulation can be watched. I started to watch the simulation and found some issues like overlaps and mouse clicks on wrong places. I followed the steps given by the client. But, the recorded simulation video had some errors. Is there a way to rectify them, or do we need to re-record the video all over again? I was clueless. After searching for a long time, I saw one option below the screen timeline with in that one object is "Screen Recording Action", I thought it may be helpful to me. So, right click on Screen Recording Action, and you can see the some options at the bottom. Have a useful name i.e. "Action Fine Tuning". Once you select the ActionFineTuning option, open the new window as same a video editing tool we can edit our simulation video with frame by frame, there are two frame options: 1. Update start frame: If we edit the previous is called start frame. 2. Update end frame: If we edit the next frame, is called end frame. Then, we can adjust the frame overlaps and mouse clicks in wrong places, and after tuning frames, select one of those options and then click OK. Then, you can see the output that is perfectly in accordance with client requirements. There is no need to record our simulations or video again. I hope you find this this blog useful. As an eLearning professional, you should always be very curious to educate yourself and your customers about the process of eLearning and how things work. You can’t just listen to whatever the customer says and start developing the course. You need to listen to the client requirements, analyze the situation and clarify your queries with the customer. How you say it can keep conversations with your customer open and focused. In this blog I’ll share a few common conversations that usually happens between an eLearning professional and their customers. "We can’t afford so much for customization. Just create a static screen", says the customer. As an expert, you should say that the performance of the learner in their workplace matters a lot rather than just the completion. The learner should apply the knowledge gained from the training in their day-to-day life. Rather than making it a static screen suggest some interactive screen which can be created within/ with slight increase in budget. "I’m the SME and I know what my learners know. Use the content as is and make it visually rich", says the customer. As an expert, you should convince the customer by saying, I can’t create this course without your help. Ask the customer to share his knowledge and experience to pull out the most critical things that the learner must do so that it helps in emphasizing the important points in the course. "It’s a compliance course, we just wanted our learner s to check all the boxes", says the customer. As an expert, you should say compliance training should look at the actual learning but not just the completion. Ask the customer, If any of the employee does not follow the policy? At what level are we really mitigating the risk of non-compliance behavior?At the end, our work is judged by how our learners are performing following the training. "We can’t afford for gaming. We just want these courses to be out with the tools what we have", says the customer. As an eLearning professional , you can educate the customer saying, there are many levels of gaming ranging from simple recall to remember. This helps in motivating the learner and create some kind of competition among themselves. There are many situations hat you might face apart from the above mentioned, answer the customer directly or explain them with some examples and keep the conversation open and focused. Infrastructure and measures to protect your IP Choosing the right custom eLearning company is a tall order. The outcome needs to successfully address the reason(s) that triggered your outsourcing initiative. Just to recap from my earlier article Too Many eLearning Companies in India - How to Find the Best?, your decision to outsource could have been driven by: Scaling (to handle higher volumes). Reducing the time to market. Reduction in cost. Access to talent that you do not have. Addition of more innovative solutions to your portfolio. In this article I will build upon the evaluation process and provide tips on how you can choose a custom eLearning company in India. Choosing the right custom eLearning company in India should be driven by your assessment of qualities they must have and that will ensure that you are laying the foundation of a mutually beneficial and long term relationship. The cost of re-evaluation is high in case your initial choice does not work and often you may not get the required management support to do the exercise all over again. I will provide you a checklist that will help you choose the right custom eLearning company in India. I have mapped each facet to a set of probing questions and how they will have an impact on the success of your outsourcing initiative. The Basics 1. What is their focus? Ask what their focus on custom eLearning development is. Tip: This should map to 50% or more of their revenue. In turn, you get the assurance of the required support in the long run. If custom eLearning is their primary business, they will invest on enhancing skills, portfolio, and continuous improvement. 2. What are their credentials? Ask for the process, supporting assets, and more specifically, how flexible their work-flow is to handle your requirement. Ask for assets being used on some projects to determine how effectively the prescribed processes are followed. Tip: Check for the periodicity of updates to the existing work-flow. Ask about the AGILE practices. Success Factors 5. Approach. Ask what drives their solution architecting. Ascertain if their solutions are driven by tools or learning experience. Tip: Check if their solutions are based on learner performance and how they will create a positive impact on the business. Ascertain if they take a consultative approach to craft the right solution. 6. Meeting deadlines (while sustaining quality). Ask how they manage the schedules. Particularly check on the impact (if any) when concurrent projects happen. Tip: Ask this question during the reference checks. 7. Risk management and mitigation. Ask about their framework and how exactly risks would be communicated to you (including their mitigation plan). Tip: Ask how this learning will be factored in subsequent projects. 8. Collaboration. Ask about their framework for collaboration between distributed teams. Specifically ask about the coverage to handle time zone challenges. Tip: Ascertain the effectiveness of their communication and collaboration during the reference checks. 9. Innovation. Ask if this exists and, if so, how exactly this is driven. Ascertain if this is indeed part of their DNA. Tip: Ascertain the outcomes and some success stories and certainly check this during the reference checks. 10. Pricing model. Ascertain that there are no hidden costs. Tip: I have mentioned this at the end, although it is a very significant factor. This is because you need to weigh all of the aforementioned facets against your basic outsourcing cost to determine if the model will be feasible. Snappico: Learning On The Go And Having Fun While At It. Snappico hits all the right eLearning buzzwords, as it sits at the intersection of three trends that have seen considerable adoption in the last couple of years or so: micro-learning, gamification and infographics. The micro-learning core consists of the mobile flash card app that displays tiny self-contained pieces of information to its users. It's perfect for any kind of commute (unless you're the driver), and the content is varied and great for both kids and adults that want to jolt their brain while on the go. How Snappico works First you have to get the app (oh, and, have we mentioned it's free?). It's only available for iOS at the moment, but if you're an Android user watch this space, as there's an Android version in the works which we'll hope to launch soon. From within the app, you can subscribe to various topics (card sets) and collect your cards. You get one (two-sided) card per topic for each day, but you can also use credits to unlock additional cards faster. Each completed card set increases your collection's value, so in order to beat other users score-wise you have to complete as many sets as you can. You need to be quick to subscribe to new sets, though, as they come with limited availability. As you complete your sets and increase your score, you also rise to even higher levels, which give you access to sets that are only available at those levels. So, those that worked faster to get a head-start and don't get too complacent and lazy about it tend to stay on top. With its nicely illustrated cards and game elements, Snappico will probably remind you of the collectible cards of old (with baseball or soccer players, formula 1 cars, etc.) and those have indeed been a great inspiration to us. We've also placed special emphasis on having well written micro-lessons on each card, and getting them to be as effective and clear as they are, proved to be a form of art all of its own. Everyone can ramble for 10 paragraphs, but essentializing the same information down to bite size takes a certain talent. Conclusion All in all, we're quite happy with how Snapicco turned out and it's already doing quite well regarding user adoption. And don't forget that we're only beginning with this app, as besides the upcoming Android release, we also have a few more surprises coming to it in the future. Creating Effective eLearning As we know, Instructional Design is the systematic development of specifications using both learning and instructional theory to ensure the quality of training. In professional training the aim of Instructional Design is to improve employee performance, as well as to increase organizational efficiency and effectiveness. Many Instructional Designers focus on the business objective of the organization while developing any eLearning curriculum, as business objectives can be achieved via the performance objective of the learners. So while focusing on eLearning effectiveness we should also focus on the eLearning course’s performance objective. Choosing the right method is always important. However, equally important is creating eLearning with effective results, and this is still a challenge. eLearning is part of a conscious choice to choose the best and most appropriate ways to promote effective learning. Both facilitated and self-paced eLearning activities and content should conform to a set of quality standards to ensure the effectiveness of an eLearning program. What Does Effective eLearning Mean? Effective eLearning means getting the business objective fulfilled by delivering the whole bunch of courses to the learner and get their performance objective. Effective eLearning provides learners with motivation by using delivering techniques. An effective eLearning course takes a good deal of time, hard work, and a commitment to high-quality content. Effective eLearning enables accessible, relevant, high-quality learning opportunities that improve learner engagement and achievement. Effective eLearning altogether means creating for the organization long-term assets which bring effective results in terms of ROI. 4 Tips To Create Effective eLearning eLearning can offer effective instructional methods such as practicing with associated feedback, combining collaboration activities with the self-paced study, personalizing learning paths based on learners’ needs, and using simulation and games. There are many ways to create effective eLearning; some very important aspects are: 1. Set And Communicate Clear Goals. There is no golden rule on how much time you need to put into creating the ideal content, but one thing is certain; you need to take your time to research material before making it available to your learners. A point we can’t stress enough: one of the reasons teams are unable to achieve goals is not having clear enough guidelines on how to reach them. Part of the curriculum of any course should be what will be done, when it will be done, and what is needed for the successful completion of tasks. It is, therefore, important that all instructors set and communicate clear goals to their learners in a manner which ensures not only that they will understand them, but also that they will be able to put them into action. 2. Focus More On Analysis And Design. Analysis and Design stages are essential to ensure course effectiveness and learners’ motivation and participation. Analyzing learners’ needs and learning content, as well as finding the appropriate mix of learning activities and technical solutions, is crucial to creating an effective and engaging course. Course effectiveness and participants’ motivation depend on several elements, including: Knowing well the subject matter. The relevance of the content and course objectives for the participant: Do they meet existing needs? Type of learning activities offered by the course: Are they interesting, inspiring, and well‑matched with the participants’ level? Course duration, timing, and number of hours to be invested: Do they fit the participants’ availability? Technical aspects: Is the technical solution appropriate to learners? Are the technical elements (e.g. the learning platform and its functions) clear and understandable to participants? 3. Qualitative Content Design.  eLearning content must be accurately prepared and presented in order to be effective. Instructional techniques should be used creatively to develop an engaging and motivating learning experience. While eLearning content may consist of different elements, ranging from simple learning resources (e.g. documents and PPT presentations) to interactive content, simulations, job aids, and so on. Here storyboarding plays an important role in creating the design mindset of the content developer. However, there are some elements that the developer needs to focus on while developing high quality content: High quality content, images, audio. Creating easy navigation. Maintaining a consistent look and feel. Making the content easy to read. Using the Color theory to create contrasting colors. Using high quality artwork. Using proper spacing throughout the course. 4. Evaluate Thoroughly. Another important aspect of effective eLearning is evaluation, and it is very important to think about it in the design stage. First, you should establish the purpose of the evaluation. The purpose might be to: Check the quality of the course to improve it before it is implemented. Measure the effectiveness of training and learning immediately after the course has been implemented; or evaluate an old course to see whether it is still valid or needs to be modified. For course efficiency I insist that you should evaluate the course: During the development stage, to improve instructional courses or products (formative evaluation). During or immediately after the implementation stage, to measure the effectiveness of education, training, and learning (summative evaluation). Sometime after the course has been implemented, to understand if it is still valid or needs to be updated or modified (confirmative evaluation). Evaluating learning activities is crucial for both self-paced and facilitated online courses. Evaluation allows you to assess learners’ progress, the quality and effectiveness of the course, and improve future learning activities and content. In conclusion, learning and development effectiveness is always an important factor for Instructional Designers. Creating effective eLearning is always a challenge, but it can be overcome by using proper methodology and process as discussed in this article. What Your Boss Wants To Know About Performance Support Tools Here are 5 important questions about Performance Support Tools; their answers explain why they must be an integral part of your company’s learning strategy. Q1. When do learners seek learning? Dr. Conrad Gottfredson and Bob Mosher’s Five Distinct Moments of Need© very succinctly captures when exactly learners seek learning. According to them, learners seek support in these Five Moments of Need: When they are learning an aspect for the first time (New). When they want to deep-dive and learn more (More). When they want to apply or remember something (Apply). When they need to solve a problem or fix something that has gone wrong (Solve). When something changes (Change). While formal training does address the first two learning needs, the use of Performance Support Tools is particularly relevant in meeting the subsequent three needs. Please refer to my article Improving ROI in eLearning where I have highlighted how an effective Performance Support intervention can increase the application of learning. This has a direct impact on improving ROI in eLearning. Q2. What are Performance Support Tools and where exactly do they fit in an organization's learning strategy? Performance Support Tools (PSTs) provide employees with on-the-job tools that make their work a lot easier. Unlike training, these tools are available to support and guide employees as they actually do their jobs. These tools are very easy to find, often directly embedded into the learners’ workflow (Learning Hub) and offer active guidance. These solutions enable organizations to provide the right amount of task guidance, support, and productivity benefits to learners precisely at the moment of need. Q3. How do Performance Support Tools help learners? Performance Support Tools provide an option for employees to learn and work at the same time. They can help an organization to reduce the cost of training while increasing productivity and performance. From a learner perspective, Performance Support Tools: Empower employees to perform tasks with a minimum amount of external intervention or training. Save the time spent by skilled performers in helping the less skilled performers on specific tasks. Help new team members perform quickly and accurately without losing productive time when training is impractical, unavailable, or constrained. Guide new employees through a complex process or task that cannot be memorized. Introduce, upgrade, or consolidate new systems (for example, customer relationship management, enterprise resource planning, or tasks in certain call centers where agents must perform using complex systems, processes, or products). Q4. How can Performance Support Tools offset some of the challenges in learning recall, retention, and application? In 1885, Herman Ebbinghaus, a German Psychologist, defined the exponential nature of forgetting. As you see from this diagram featuring the "Forgetting Curve", we forget 80% of what we learned in 30 days! Added to this is an associated challenge that by investing on formal training that would happen for a few days in a year, we cannot expect learners to gain high levels of proficiency in it although baseline proficiency can certainly be achieved. The real solution lies in creating "Learning as a continuum". A good way to do this is to identify the areas for formal training and use Performance Support Tools intervention to reinforce it shortly after the formal session. You can then create a "learning path" that has interventions like this during the year. A combination of reinforcement as well as new assets that push application of knowledge on-the-job will help you create a high degree of knowledge recall, retention, and application. What are the possible ways to offer Performance Support Tools? Mobile Apps These are among the best forms of Performance Support available today and just like any professional for whom "information" is the key, learners could greatly benefit from mobile app solutions. Interactive PDFs You can convert any lengthy document into an interactive PDF with content tagging for easy navigation, richer visual experience, and so on. These make factual and knowledge-based information available to learners quickly and easily. These may include tips, fact sheets, checklists, practical forms, participant guides, processes, and procedures documents. eBooks Any document can be converted into HTML5 compatible eBooks accessible through PCs, tablets, and smartphones. These can also be converted as SCORM packages. Again, these can include key takeaways from a training program, participant guides, processes, and procedures documents.
